The Renewal Process

If you are a current Howard Gilman Foundation grantee, please follow these steps to apply for renewed funding. If your organization was funded in the past, but funding has lapsed, please follow the instructions on the Applying for New Funding page. If you are unsure if you should be applying for New Funding or Renewed Funding, please contact your Program Officer or the Grants Team

Apply in the correct cycle.

Current grantees should apply for Renewed Funding in the same cycle they applied in the previous year or in the cycle explicitly discussed with their Program Officer. All dates and deadlines can be found below and on the Dates & Deadlines page. If you are unsure about which cycle you are in, please contact your Program Officer or the Grants Team

Update your organization profile in the grants portal. 

Before starting your Renewal Application, review your contact information and organizational profile in the grants portal to ensure all fields are accurate and complete. If updates are needed, click here and follow the instructions starting on page 6.

Review Period & Decisions 

After you submit your Renewal Application, your Program Officer will set up a time to meet either in person or via Zoom. Your Program Officer will also engage with your performance activities, which may happen outside of your grant cycle timeline. 

The Gilman team comes to a consensus on all grant recommendations, which are then reviewed, discussed, and approved by the Gilman Board. All grant decisions are emailed to the contacts you’ve selected in your Renewal Application. Grantees will receive a grant agreement and payment instructions via DocuSign. 

Reporting

The Renewal Application asks you to report on your prior grant. There is no separate reporting requirement.

Multi-Year Funding  

If you receive multi-year funding, you will receive information about interim meeting requirements and deadlines in the grant agreement and award letter. Multi-year funding recipients must submit updated budgets and financial statements in the grants portal at the one-year mark. Your Program Officer will be in touch to schedule a check-in meeting after these financial updates have been submitted.


Dates & Deadlines for Renewed Funding

Cycle 1

November 18, 2024: Current Grantee Renewal Application form opens in the grants portal.
December 11, 2024: Renewal Applications due.
Mid-March 2025: Funding decisions are emailed to applicants.

Cycle 2

February 17, 2025: Current Grantee Renewal Application forms open in the grants portal.
March 12, 2025: Renewal Applications due.
Mid-June, 2025: Funding decisions are emailed to applicants.

Cycle 3

August 18, 2025: Current Grantee Renewal Application forms open in the grants portal.
September 10, 2025: Renewal Applications due.
Early December 2025: Funding decisions are emailed to applicants.
